Privacy Policy

RETIAS ("RETIAS," "we," "us," or "our") operates the RETIAS desktop application and the website at retiasai.com (together, the "Service"). This Privacy Policy explains what information we collect, how we use it, and the choices you have.

By creating an account or using the Service, you agree to this Privacy Policy. If you do not agree, please do not use the Service.

1. Information we collect

Account information. When you register, we collect your email address, display name, and authentication credentials (passwords are hashed by our auth provider; we do not store plain-text passwords). If you sign in with Google, we receive your Google account email and basic profile information permitted by Google.

Session and coaching data. When you use interview coaching features, we may store session metadata (such as company name and role), live transcripts, questions detected during a session, and AI-generated answers associated with those sessions.

CV and resume content. If you upload a CV or resume, we store the text you provide so the Service can personalize answers.

Online assessment data. If you use screenshot capture and analysis, we may store screenshots, extracted question text, AI-generated answers, scores, detected platform or test type, and source URLs visible in captured content.

Payment information. Paid subscriptions are processed by Paystack. We receive subscription status, plan tier, and transaction references from Paystack. We do not store full payment card numbers on our servers.

Device information. On the desktop app, we may associate your account with a device identifier to enforce one-account-per-device rules and protect against unauthorized sharing.

Technical and usage data. We collect standard log and diagnostic information such as app version, error logs, and basic usage events needed to operate, secure, and improve the Service.

2. How we use your information

  • Provide, maintain, and improve the Service
  • Authenticate you and manage your account and subscription
  • Generate real-time transcription, coaching answers, and assessment analysis using AI
  • Sync your data between the desktop app and web dashboard
  • Process payments and manage billing through Paystack
  • Detect abuse, enforce our Terms of Use, and protect the security of the Service
  • Respond to support requests and communicate important service updates

3. AI processing and third-party services

To deliver core features, content you submit (such as audio transcripts, screenshots, questions, CV text, and prompts) may be sent to third-party AI and infrastructure providers, including but not limited to:

  • Supabase — authentication, database, and file storage
  • Anthropic (Claude) — answer generation and analysis
  • Deepgram — speech-to-text transcription
  • Paystack — subscription billing
  • Google — optional sign-in with Google

Premium Plus features may also use paraphrase or humanization tools to rewrite answer text. These providers process data on our behalf subject to their own terms and privacy policies.

4. How we share information

We do not sell your personal information. We may share information only in these situations:

  • With service providers that help us operate the Service (hosting, AI, payments, email)
  • When required by law, regulation, legal process, or government request
  • To protect the rights, safety, and security of RETIAS, our users, or others
  • In connection with a merger, acquisition, or sale of assets, with notice where required by law

5. Data retention

We retain your information for as long as your account is active or as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce our agreements. You may request deletion of your account and associated data by contacting us. Some information may be retained in backups or logs for a limited period after deletion.

6. Security

We use reasonable technical and organizational measures to protect your information, including encrypted session storage on the desktop app and access controls on our database. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

7. Your choices and rights

  • Access or update account details through the app or dashboard settings
  • Delete CVs and review session history from your dashboard
  • Cancel a paid subscription through your account or by contacting support
  • Request account deletion or a copy of your data by emailing support
  • Opt out of non-essential marketing emails (service emails may still be sent)

8. Children's privacy

The Service is not intended for users under 16 years of age. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, contact us and we will take steps to delete it.

9. International users

Your information may be processed and stored in countries other than your own, including where our service providers operate. By using the Service, you consent to this transfer, subject to applicable law.

10. Changes to this policy

We may update this Privacy Policy from time to time. We will post the revised policy on this page and update the "Last updated" date. Material changes may also be communicated by email or in-app notice. Continued use of the Service after changes take effect constitutes acceptance of the updated policy.
